01About Accountant Bookkeeping Ltd

Accountant Bookkeeping Ltd ("we", "us", "our" or "the Firm") is a UK-based accountancy practice providing bookkeeping, tax, payroll, company formation, and identity verification services to individuals, sole traders, partnerships, and limited companies across the United Kingdom.

These Terms of Service ("Terms") govern your use of our website and the professional services we provide. By engaging our services or using our website, you agree to these Terms.

02Professional Status

Accountant Bookkeeping Ltd holds the following professional authorisations:

  • AAT Licensed Accountant — licensed by the Association of Accounting Technicians (License No. 1004934).
  • HMRC Tax Agent — authorised to file tax returns and act as agent on behalf of clients.
  • Companies House Authorised Corporate Service Provider (ACSP) — authorised to verify identities for Companies House filings (Ref: AP009571).

We conduct our work in accordance with the standards and codes of conduct of our professional body and applicable UK law and regulation.

03Scope of Services

We provide accountancy and related services based on the scope agreed in your engagement letter. The scope of each engagement is defined at the outset and documented in writing. Services are provided based on information supplied by the client, and clients remain responsible for reviewing and approving all submissions before filing.

Any work outside the agreed scope may constitute additional work and may incur additional fees, as set out in these Terms.

  • Landlord Tax and Rental Accounts

Specific inclusions for each service are set out in your engagement letter and on our Services and Pricing pages.

05Quotes and Estimates

Any quote or estimate we provide is based on the information available at the time and is valid for 30 days unless stated otherwise. Quotes are indicative and may be revised if the scope of work changes or if the information provided is incomplete or inaccurate.

A formal fixed fee will be confirmed in your engagement letter before work begins.

06Fixed Fees

We operate a fixed-fee pricing model. Fees for each engagement are agreed in advance and set out in your engagement letter. Fixed fees provide certainty and transparency — there are no hidden charges, and no VAT is added to our fees.

The agreed fixed fee covers the specific scope described in the engagement letter. Work outside that scope is charged separately under the Additional Work clause.

07Additional Work

Additional work outside the agreed scope may incur additional fees. Examples of additional work include:

  • Dealing with HMRC enquiries or investigations beyond the original engagement.
  • Reconstructing or correcting records where information provided is incomplete or disorganised.
  • Additional returns or filings not included in the original scope.
  • Advisory work, meetings, or correspondence beyond standard engagement activity.

Where additional work is required, we will notify you and agree the additional fee before proceeding wherever possible.

08Client Responsibilities

To enable us to provide our services effectively, you agree to:

  • Provide accurate, complete, and timely information and records.
  • Respond to our requests for information within reasonable timeframes.
  • Review and approve all submissions before we file them on your behalf.
  • Inform us promptly of any change in your circumstances that may affect your tax or accounting position.
  • Make payments due to us in accordance with these Terms.

Delays or failures by the client in providing information may affect our ability to meet deadlines, and we will not be liable for consequences arising from such delays.

09Accuracy of Information

Services are provided based on information supplied by the client. You are responsible for the accuracy and completeness of all information you provide to us. We are not responsible for verifying the accuracy of source records supplied to us, although we will review them professionally and raise queries where appropriate.

Clients remain responsible for reviewing and approving all submissions before filing. We do not accept liability for errors or omissions arising from inaccurate or incomplete information provided by the client.

10Identity Verification Requirements

Identity verification and AML checks are mandatory where applicable. As a regulated firm, we are required to verify the identity of clients, directors, persons with significant control, and other relevant individuals before providing certain services.

Identity verification is conducted through our ACSP Verification Portal or an equivalent process. A fee of £50 per person applies to ACSP identity verification services. We may decline or suspend services where required checks cannot be completed.

11Anti Money Laundering Compliance

We comply with the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017. As part of this compliance:

  • We conduct customer due diligence on all clients and relevant individuals.
  • We may request additional information or documentation where enhanced due diligence is required.
  • We are required to report suspicious activity to the National Crime Agency.
  • We may refuse or terminate an engagement where legal or regulatory obligations require.

By engaging our services, you confirm that you will not use our services for any unlawful purpose and that all information provided is true and accurate.

12HMRC Authorisation

Where we act as your tax agent, you will be required to authorise us with HMRC using the appropriate online authorisation process. We will guide you through this process. Authorisation must be in place before we can file returns or correspond with HMRC on your behalf.

We do not guarantee acceptance of any return or claim by HMRC, nor do we guarantee any particular tax outcome or refund. All submissions are made on the basis of the information you provide and are subject to HMRC review.

13Companies House Services

Where we provide company formation, filing, or related services, we act on your instructions and submit information to Companies House on your behalf. We do not guarantee acceptance of any filing by Companies House, and all submissions are subject to their review.

You are responsible for ensuring that information provided for Companies House filings is accurate and complete.

14ACSP Verification Services

As a Companies House Authorised Corporate Service Provider, we offer identity verification services for directors, PSCs, LLP members, and individuals forming new companies. These services are subject to the following:

  • A fee of £50 per person applies to ACSP identity verification.
  • Applicants must complete the verification process through our ACSP Verification Portal.
  • Applicants must accept the Letter of Engagement and Privacy Notice and provide an electronic signature.
  • Verification outcomes are submitted to Companies House as required.

We may refuse verification where documents are insufficient, information is inconsistent, or regulatory requirements are not met.

15Document Submission Requirements

Clients must submit records and documents in a timely and organised manner. We recommend using our secure client portal for document submission. Where documents are submitted by other means, we are not responsible for any loss or delay before documents reach our secure systems.

We reserve the right to charge additional fees where records require significant reconstruction or reorganisation before work can proceed.

16Client Portal Usage

Where we provide access to a client portal, you agree to:

  • Keep your login credentials secure and confidential.
  • Not share access with unauthorised third parties.
  • Notify us immediately if you suspect unauthorised access.
  • Use the portal only for lawful purposes related to your engagement.

We may suspend portal access where we believe security has been compromised or where an engagement has ended.

17Payment Terms

Fees must be agreed before work begins and are set out in your engagement letter. Unless otherwise stated, invoices are payable within 7 days of issue. Payment can be made by bank transfer or another method agreed with us.

For ongoing services, fees may be invoiced periodically or in advance as agreed in the engagement letter.

18Late Payment

If an invoice remains unpaid after the due date, we may:

  • Charge interest on overdue amounts at the rate permitted under the Late Payment of Commercial Debts (Interest) Act 1998.
  • Suspend further work until outstanding fees are settled.
  • Decline to file or submit work on your behalf until payment is received.

We will notify you before taking any of these steps and will attempt to resolve payment issues amicably.

19Suspension of Work

We may suspend work on your engagement where:

  • Fees remain unpaid beyond the due date.
  • Required information or documentation has not been provided.
  • Identity verification or AML checks cannot be completed.
  • Legal or regulatory obligations require us to do so.

We will notify you of any suspension and the reasons for it, and will resume work once the issue is resolved where possible.

20Refund Policy

As professional services are tailored to each client, fees are generally non-refundable once work has commenced. However:

  • If work has not yet begun and you cancel within the period set out in the Cancellation Terms, we will refund any fees paid for work not performed.
  • If we are unable to complete an engagement for reasons within our control, we will refund a proportionate amount of any fee paid for work not completed.
  • ACSP verification fees are non-refundable once the verification process has commenced, as the fee covers the verification activity itself.

21Cancellation Terms

You may cancel an engagement at any time by giving written notice. Cancellation terms include:

  • If you cancel before work has begun, any fee paid will be refunded in full.
  • If you cancel after work has begun, you will be liable for fees proportionate to the work completed up to the date of cancellation.
  • We may also terminate an engagement by giving reasonable written notice, and will refund any fees paid for work not completed.
  • We may refuse or terminate engagements where legal or regulatory obligations require.

22Communication Methods

We communicate with clients by email, telephone, post, secure portal, and through our website enquiry and WhatsApp widgets. You agree to receive communications by these methods. While we take care to use secure methods, you should be aware that email is not inherently secure, and we recommend the portal for sensitive information.

23Confidentiality

We treat all client information as confidential and will not disclose it to third parties except:

  • Where required by law, regulation, or court order.
  • Where you have given consent.
  • To our professional advisors, insurers, or processors where necessary and bound by confidentiality.
  • Where required by our professional body's quality assurance or regulatory reviews.

Our duty of confidentiality continues after an engagement ends.

24Data Protection

We process personal data in accordance with our Privacy Policy, the UK GDPR, and the Data Protection Act 2018. Please refer to our Privacy Policy for details of how we collect, use, and protect your personal data, and for information about your data protection rights.

25Limitation of Liability

Our liability for any claim arising from an engagement is limited to the fees paid for the relevant engagement, except where prohibited by law. This limitation does not apply to liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be limited by law.

We do not guarantee tax refunds, HMRC acceptance, Companies House acceptance, or any particular outcome. Outcomes depend on factors outside our control, including the accuracy of information provided and the decisions of HMRC and Companies House.

26Professional Indemnity

We maintain professional indemnity insurance appropriate to the nature and scale of our practice, as required by our professional body. Details of our cover are available on request. This insurance is intended to protect clients in the event of professional negligence and is subject to the terms of the relevant policy.

27Force Majeure

We will not be liable for any delay or failure to perform our obligations where the delay or failure is caused by circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, strikes, government action, or failures of third-party systems. Where a force majeure event occurs, we will notify you and take reasonable steps to resume performance as soon as possible.

28Complaints Procedure

We are committed to providing a high standard of service. If you are dissatisfied, please contact us in the first instance so we can attempt to resolve the matter. Complaints should be directed to the Director, Donatas Mendelis, at info@accountantbookkeeping.co.uk.

If we cannot resolve your complaint, you may be entitled to refer it to our professional body, the Association of Accounting Technicians. We will provide you with details of the relevant complaints process on request.

29Intellectual Property

All content on this website, including text, graphics, logos, and design, is the property of Accountant Bookkeeping Ltd or its licensors and is protected by UK intellectual property law. You may view and download content for personal, non-commercial use. You may not reproduce, distribute, or otherwise use our content without our prior written consent.

30Website Usage Terms

By using our website you agree to the following:

  • You will use the website only for lawful purposes.
